Who is Epilepsia Waves?

Epilepsia Waves is an innovative a ssociation dedicated to improving the quality of life for people with epilepsy. The association brings together patients, caregivers, healthcare professionals, and multidisciplinary experts to co-create solutions tailored to patient needs. Inspired by the “Mozart effect,” it explores the impact of music as a non-invasive approach to reducing the frequency and severity of seizures.

At the heart of the project is Eva Menard, an artist and epilepsy patient, who transformed her personal experience into a driving force for designing a pioneering study on how people with epilepsy perceive music. Her ambition is to create a modern, scientifically validated musical repertoire, designed to accompany patients daily while adhering to strict quality and regulatory standards.

Context and Challenge

Obstacles to Overcome

Epilepsia Waves faced several hurdles in implementing its ambitious project. The main obstacle was the inadequacy of tools and methods offered by the initial CRO, whose rigid, inflexible framework did not support an iterative, patient-centric approach.
At the same time, the complex regulatory requirements—notably GDPR and Good Clinical Practice (GCP)—hindered the team’s autonomy and slowed project progress. Additionally, some technological solutions featured interfaces unsuited to users who may experience cognitive impairments linked to epilepsy, making them difficult to use in this context.
Traditional clinical approaches failed to align with the association’s patient-first vision, making it crucial to identify a customized solution.

The solution

A Tailor-Made Response

In this context, the association turned to Datacapt to meet its specific needs. From the very first exchanges, they were struck by the responsiveness and active listening of the Datacapt team, which immediately grasped the project’s stakes. It soon became clear they had found more than a vendor—a true partner.

The platform’s intuitive interface and comprehensive features quickly exceeded expectations. Fully compliant with quality, security, and regulatory requirements, it provided a robust, reliable framework. Clinicians, physicians, and the CRO unanimously confirmed the appropriateness of the choice.
In just four days, the team configured, tested, and deployed its survey with no prior technical experience. Targeted training and responsive support enabled rapid mastery of the tool, along with guidance to optimize the survey.

With Datacapt, questionnaire distribution is automated, response tracking is streamlined, and real-time adjustments can be made at any stage. Freed from technical constraints, the team can focus on patient follow-up and project success.

Tangible Benefits – Measurable Results

Within seven days, the survey was built, tested among study stakeholders, refined, validated, and sent to 250 patients. Responses began flowing in immediately. The completion rate reached an impressive 92% in the first phase, without any specialized training for participants, thanks to a simple information note.

What would have taken several weeks using a traditional approach was accomplished in just a few days. Epilepsia Waves estimates it reduced survey preparation time by four. No administrative or logistical effort was required during fieldwork, thanks to automated dispatches aligned with each stage of the trial. The team could concentrate on patient monitoring and support.
Moreover, exported data are instantly formatted and ready for immediate analysis, with no additional processing needed.

In just a few days, I was able to configure and test my survey, allowing me to focus on what really matters: patient well-being
